Volunteer Coordinator

 

 

Primary Function: The Volunteer Coordinator is responsible for developing, implementing, evaluating and guiding our volunteer program.

 

Essential Duties and Responsibilities:

•  Scheduling and coordinating all training classes, assisting as moderator and/or presenter when necessary.

•  Review and revise volunteer manual as needed. Create specific program manuals as needed.

•  Experience with volunteer management for at least one year preferred

•  Provide staff with training in basic volunteer management.

•  Seeks and participates in outreach and fundraising events to gain exposure of spcaLA and recruit volunteers.

•  Develops and maintains system to track volunteer activities and hours as required to insure that accurate and timely information is available for department and administrative reports.

•  Identify and develop opportunities to increase agency exposure through volunteer based community activities. Establish position in the community as consultant/guest speaker regarding volunteer issues and programs.

•  Ability to communicate with, supervise, motivate, and empower volunteers to be effective in their role.

•  Assist with monthly program reports.

•  Assist with planning and coordinating volunteer appreciation events

•  Works along with staff to create new volunteer opportunities that fill programmatic and organizational needs.

•  Creates volunteer job descriptions and marketing materials for volunteerism.

•  Creates in-house flyers promoting volunteer run programs for clients and engages program staff to generate for new volunteer initiatives.

•  Spearhead initiatives to recognize, motivate, and retain volunteers by recognizing their contributions (i.e. yearly appreciation party, volunteer newsletter, thank you letters, etc.)

•  Coordinating and organizing the Animal Assisted Therapy Program, as well as staying in constant contact with new and existing volunteers and facilities.

•  Perform other duties as necessary to improve the functioning of the organization.

Supervisory Responsibilities:

•  Directly supervises the implementation of volunteer personnel in all agency departments and special events.

•  Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.

•  Responsibilities include interviewing, training and supervising volunteers in the performance of their duties, providing performance evaluations and appropriate disciplinary action as necessary.

•  Responsible for the positive and professional appearance and behavior of all volunteers.

 

•  Will mediate disputes between staff and personnel, troubleshoot areas of potential conflict and work with Human Resource Director to insure proper staff/volunteer relations.

 

Job Related and Essential Qualifications

Ability to:

•  Effective public speaking/teaching skills for volunteer orientation/training classes

•  Supervise and direct volunteer personnel

•  Experience in volunteering and/or working with volunteers

•  Quickly and effectively mobilize volunteer staff to meet agency needs

•  Manage multiple priorities

•  Handle problem situations involving volunteers as they relate to any aspect of the agency

•  Prepare reports and maintain an efficient records system

•  Work well and communicate effectively, both orally and in writing with volunteers, fellow employees and the public

•  Understand and carry out oral and written instructions

•  Operate a vehicle observing legal and defensive driving practices

•  Flexibility to adapt to differing support needs created by varying work styles.

•  Flexible hours required, including some weekday nights and weekends

•  Must be courteous, professional, diplomatic and patient

Knowledge of:

•  Basic knowledge of domestic animals; basic domestic animal care

•  Issues relating to agency policy and procedure

•  General Human Resources' policies and procedure as they relate to volunteer staff

•  Computer applications (Microsoft Word, Outlook, Excel, Access, Photoshop, PowerPoint)

•  Office equipment (typewriter, fax machine, copier, telephone etc.)

 

Other Essential Qualifications:

License Required - Possession of a valid and appropriate California Driver's License and car will be required prior to employment. License must be maintained in the course of employment. Insurable to drive company vehicle.

 

Physical Demands -While performing this job the employee is regularly required to handle animals in the course of training volunteers and assisting shelter staff and other departments. Requires the mobility to stand, walk, sit and kneel, crouch or crawl. Perform work which may involve lifting, carrying and/or pushing of 25 lbs. or more.

 

Working Conditions - Dealing with an office environment in which the noise level is generally moderate, but on occasion will be high. Possibly dealing with hostile public. Operation of a vehicle under all types of weather and road conditions. Working closely with animals in the shelters there is possible exposure to parasites and infectious diseases.

 

Experience and Training

•  Bachelor's Degree in Business Management, Organizational Management, Public Administration or related field, or equivalent work experience.

•  High School diploma or G.E.D. Equivalent

•  Proven excellent written and communication skills

•  Computer literate

Salary Range: $33,000 -$38,000/yr

This is a full-time exempt position with benefits.
